How Bean Merchant Works

Bean Merchant connects your Shopify store to our marketplace, allowing customers to discover and purchase your coffee while you maintain full control of fulfillment.

When customers order your coffee, you receive the order in Shopify and ship directly to them.

Our OAuth integration means you don't need to create API keys manually. Just authorize Bean Merchant in Shopify.

Log in to Your Vendor Dashboard

Access your Bean Merchant vendor dashboard at:

Navigate to Shopify Connection

In your dashboard sidebar, click "Connect Shopify" or find it under your store settings.

Enter Your Shopify Store URL

Enter your myshopify.com domain (e.g., your-store.myshopify.com)

Authorize in Shopify

Click "Connect with Shopify" and you'll be redirected to Shopify to authorize Bean Merchant.

Permissions We Request
  • Read products – To import your coffee listings
  • Read inventory – To sync stock levels
  • Create draft orders – To send you customer orders
  • Read fulfillments – To track shipping status

Connection Complete!

Once authorized, you'll be redirected back to your Bean Merchant dashboard, ready to import products.

Import Your Products

Once connected, you can select which coffee products to list on Bean Merchant. Our team reviews each submission to ensure quality.

Go to "Import Products"

From your dashboard, navigate to Import Products. You'll see all coffee products from your Shopify store.

Select a Product to Import

Click on a product card to begin the import process. Products already on Bean Merchant will be marked as "Published".

Configure Product Attributes

Submit for Review

Click "Submit for Review" and our team will check your product. Approvals typically happen within 24-48 hours.

Pro Tip: Subscription Products

When you import a product, we automatically create both one-time purchase and subscription versions. Customers can choose weekly, fortnightly, or monthly deliveries!

Managing Orders

When customers purchase your coffee on Bean Merchant, we automatically create a draft order in your Shopify store.

Check Your Shopify Orders

Bean Merchant orders appear as Draft Orders in your Shopify admin. The order note will include:

  • Bean Merchant order reference
  • Customer shipping address
  • Products and quantities
  • Any special instructions

Prepare & Ship the Order

Pack the coffee as you normally would. Use your preferred courier (NZ Post, CourierPost, Aramex, etc.).

Add Tracking & Mark Fulfilled

In Shopify, add the tracking number and mark the order as fulfilled. This automatically:

  • Updates the customer on Bean Merchant
  • Sends shipping notification email
  • Updates order status in your dashboard

Fulfillment Timeframe

We recommend shipping within 2-3 business days to maintain excellent customer satisfaction.

Stock Sync

Keep your Shopify inventory accurate! We sync stock levels hourly to prevent overselling.

Support & FAQ

How do I disconnect my Shopify store?

Go to your vendor dashboard → Shopify Settings → Click "Disconnect Store". This immediately revokes Bean Merchant's access. Your products will be delisted, but any pending orders will still need to be fulfilled.

What happens if a product goes out of stock?

We sync stock levels hourly from your Shopify store. When a product reaches zero stock, it's automatically marked as "Out of Stock" on Bean Merchant. When you replenish stock in Shopify, it becomes available again.

Can I change my prices after listing?

Yes! Update prices in your Shopify store. We check for price changes daily and flag them for review. Significant price changes may require approval to ensure consistency for customers.

How do subscriptions work?

When a customer subscribes to your coffee, we create a recurring order. Each cycle (weekly, fortnightly, or monthly), a new draft order appears in your Shopify. You fulfill it the same way as one-time orders.

What commission does Bean Merchant take?

Commission rates are agreed upon when you join as a vendor. Contact us at contact@beanmerchant.co.nz for current rates and partnership details.

Who handles customer service?

Bean Merchant handles general enquiries and payment issues. For product-specific questions or shipping problems, we'll connect customers with you directly. You're responsible for fulfillment quality.
